Coordinator, Service

 

Job Responsibilities:

  • Liaise with Client to generate accurate schedule for deployment.
  • Liaise with HR Admin to obtain VISA, air ticket, hotel and transport arrangement.
  • Liaise with customer and related personnel to generate all documents required for security clearance for site work.
  • Raise Procurement Requisition for Service Maintenance Parts.
  • Process delivery of items to send to site.
  • Track status of Service Billing and ensure on time Billing.
  • Ensure timely submission of duly signed service reports.
  • Ensure timely collection and collate written service reports from the Service Engineers, JB Engineers and Project Engineers doing service jobs for Singapore office.
  • Assist in preparation of reports and presentations, meeting agendas, record and write minutes of meeting and draft correspondences .
  • Collaborate with various department in follow- up actions after the meeting only when instructed.
  • Update and maintain proper service schedule and monitor engineering staff’s daily movements.
  • Administer and maintain stock and working conditions for engineering tools and equipment asset records for the Service Department.
  • Manage and monitor purchase requisitions (PR) from Service team.
  • Perform daily administrative duties and house-keeping.
  • Back-up administration on counter services and travel arrangement, when needed.
  • All Service related administrative job such as tabulate Service Manhour Calculations, Scanning, Uploading and Hardcopy Filing.
  • Perform other ad-hock duties assigned by the Service Manager.
 

Job Requirements:

  • Candidate must possess at least an A“ level or Diploma qualification.
  • 2 – 3 years of relevant experience.
  • Preferably experienced in customer service, project coordination and admin support.
  • Able to support a team of service engineers to meet various project schedule, costing, customer expectation etc.
  • Demonstrate good interpersonal skill; coordinate with inter-department head to achieve company goals.
  • Good communication skills per phone and email.
  • Pursues excellence in all aspects of business.
    Service oriented with analytical and problem-solving skills.
  • Support in building expert knowledge in the team.
    Possess the expert knowledge to identify opportunities for change and the ability to convey the need for change.
  • Preferably knowledgeable on shipyard or site deployment requirements.
  • Site experience offshore and/or onshore is advantageous.
